Two documents, two jobs
An invoice is a request for payment issued before or at delivery. A receipt is proof of payment issued once money has changed hands.
Picture a landscaper who mows a client's property. The landscaper sends an invoice for $400 with a due date. When the client pays, the landscaper sends a receipt showing the $400 was received, the date and the method.
For a walk-up sale, such as a cashier ringing up a customer, the invoice step is skipped. Payment happens right away and a receipt is handed over. Invoices matter most where payment comes later, which is the case for most business-to-business work. See invoicing basics.
What an invoice should include
Include both parties' details, a unique number, dates, itemized charges, the total due, payment terms and payment instructions.
A solid invoice lists:
- Business name and contact details, and the customer's
- A unique invoice number
- Issue date and due date
- Itemized goods or services with quantities and prices
- Taxes and discounts
- Total amount due and the payment terms
- How to pay: bank transfer, card, check or online link
See what to include on an invoice and late fee wording. Clear, prompt invoices are the easiest way to speed up collections.
What a receipt should include
A receipt shows who paid, who received, the date, the amount, what the payment was for and the payment method.
Include:
- The seller's name and contact information
- The date of payment
- The amount paid and any remaining balance
- What was purchased or which invoice was paid
- Payment method, such as card or check
- A receipt or transaction number
If a customer paid part of an invoice, the receipt should note the balance still due. Match the receipt number to the invoice number so records link up easily.
Side-by-side comparison
The key differences are timing, purpose and effect on your books.
| Feature | Invoice | Receipt |
|---|---|---|
| Purpose | Request payment | Confirm payment |
| When issued | Before payment | After payment |
| Shows due date | Yes | No |
| Books impact | Creates a receivable | Clears the receivable and records cash |
| Customer uses it to | Pay and record a bill | Prove they paid and track expenses |
An invoice marked "paid" is not always a receipt, so many businesses send a separate receipt or a paid-in-full notice for clarity. For the buyer's view of an invoice, read invoice vs. bill.
Keeping records straight
File invoices and receipts together by customer and date. Reconcile payments against invoices every month.
Good habits:
- Number invoices in sequence and never reuse a number.
- Send receipts the same day payment arrives.
- Match each deposit in your bank account to an invoice.
- Follow up on overdue invoices at set intervals.
- Keep copies for the period your accountant recommends. See how long to keep business records.
Invoicing software automates much of this. See invoicing software and bookkeeping software options. Customers who dispute charges can be handled using invoice dispute steps.
When invoices get paid slowly
If customers pay late, the gap can strain payroll and supplier payments. Funding can bridge it, but only if the cost is smaller than the benefit.
Slow-paying customers are one of the most common cash flow problems. Before borrowing, tighten your process: invoice on completion, shorten terms, take deposits and follow up early.
If a gap remains, ROI Funder places business lines of credit and working capital for businesses with 500+ FICO, 6+ months in operation and $20,000+ monthly revenue. It does not place invoice factoring. Same-day funding is possible on approved, complete files, which means the application plus 3 months of bank statements. Applying uses a soft credit pull, with no obligation to accept an offer.
Frequently asked questions
Can an invoice serve as a receipt?
Not by itself. An invoice marked paid can work as proof in some cases, but a separate receipt is clearer.
Do I need to give a receipt for every sale?
Customers generally expect one, and some states or situations require it. Keep a copy for your records either way.
What is a pro forma invoice?
It is a preliminary invoice sent before work is done or goods ship, often to confirm price or support customs and deposits.
Should receipts reference the invoice number?
Yes. It links the payment to the original charge and makes reconciliation easier.
